Administrative Coordinator

Reports To: Executive Director

Status: Part Time - 25 hours per week Monday - Friday


The Administrative Coordinator is an integral part of a team of people who are dedicated to advancing DANCECleveland’s mission and activities. This role requires someone who is a fast learner, problem solver, and team player, with exceptional customer service skills. This person will provide ticketing services to all DANCECleveland patrons, overall support to the marketing, and development departments, and all administrative functions including database management and maintenance of all the organizations files. The work schedule is Monday through Friday with additional responsibility on weekends and evenings at least 7-10 time per performance season.

Responsibilities and Expectations:

Information Management and Administrative Support:

  • Maintain the patron database and other information management resources.
  • Keep all office files organized and up to date by fiscal year and performance season
  • Update Board of Trustees website and distribute all materials and correspondence prior to bi-monthly board meetings
  • Keep all Board of Trustees files and contact information up to date and accurate
  • Screen incoming calls
  • Collect open and distribute all incoming and outgoing mail and packages
  • Assist with calendar management and scheduling of meetings
  • Manage office equipment, and office supplies and stationary inventory
  • Take deposits to the bank as needed

Ticket Sales and Marketing:

  • Manage and record all ticketing transactions and activities using the Audience View ticketing system.
  • Track and reconcile ticket sales and attendance
  • Update Board of Trustees website and distribute all materials and correspondence prior to bi-monthly board meetings
  • Assist Marketing Manager with projects including group sales and on-line and social media marketing initiatives.

Development and Fundraising:

  • Assist Development Manager with the execution of annual fund campaign and other donor related events and activates.
  • Process all incoming donations and send acknowledgments to donors

Community Outreach and Education:

  • Assist with planning and execution for community festivals and events.
  • Provide administrative and logistical support to DANCECleveland’s in-school educational programs.
  • Other administrative or project-related duties as assigned

Required Qualifications:

  • Bachelor’s Degree
  • Dance experience or appreciation of dance preferred
  • A minimum of two years of administrative support experience
  • Previous ticketing and customer service experience preferred
  • Strong computer skills in MS Word, Excel and customer relation management (CRM) databases
  • A working understanding of e-based marketing
  • Ability to work on and prioritize multiple assignments and projects simultaneously, and meet deadlines
  • Take a proactive role to completing tasks individually and as part of a team
  • Proven track record of independent thinking and decision making
  • Ability to exercise good judgment, discretion and professionalism
  • Comfortable engaging with the public in person and over the phone
  • Ability to work flexible hours including evening and weekends at 7-10 times per performance season.
  • Understanding of the performing arts or other non-profit/nontraditional work environments
